5 tips for Access

Access 2010 has introduced many new features that are useful, some which have not been received too well but once adapted to, can prove handy and some, which are inherited from previous versions but can be used in new ways.

Here is a rundown of 5 useful tips and tricks for using Access 2010.


#1. Web Functionality

A new feature that Access 2010 boasts is its web enhancements which includes integrated web functionality as well as offline use facilitated by SharePoint Server.  Its web functionality includes the ability to create web databases following a three-tier based architecture, web forms etc.
If you are quite proficient in using previous versions of Access, you will be familiar with operational aspects of using many of the web enhancements but you may need to learn a new set of expressions.

#2. Macro Designer

The revamped Macro Designer in Access 2010 is a significant enhancement that features in this new version that is aimed at reducing coding errors and an easier logic flow.  The new editor presents a more code like view with UI control making it more readable and easier to navigate through.

On of the main obstacles that people face with Macro’s is related to debugging.  A useful way to ease the error handling process using the Macro Designer is to add the ‘On Error’ macro action to the top of the macro with a ‘MessageBox’ so that you can have a message that shows a description of the error.

Also, if your database is quite Macro heavy you may find the ‘Group’ function useful.  This new program flow enables you to place macros into categories that will be expandable and collapsable when navigating through.

#3. Reduce the amount of clicks

One of the criticisms that Access 2010 has faced in comparison to previous versions is that many functions take longer, or more clicks, to access.  However, anyone who is looking to be more savvy in their use of this application would be interested to be pointed to the ‘one click’ solution that is in fact provided.  On the bottom right corner of the interface are a few features that can be accessed through just one click - you just need to get used to looking in that place for them.

#4. Navigation Forms

The new form navigation features that this 2010 version provides, offers an easier way to create and modify records.   The Access 2010 Form enables you to create databases that are more user-friendly, eye catching, and easier to navigate through buttons, hyperlinks and a variety of controls.

#5. Maximise the Quick Access Toolbar

The Quick Access toolbar was a feature introduced in the 2007 version and despite its usefulness, was famously underused.  It is therefore worth highlighting this when talking about Access 2010 as by maximising the functions that are added to it could prove a huge time saver.  By default it provides a few useful functions but it can be fully customised to suit your use of this application.
